Overview

Fleet Master’s Asset Management module allows you to manage and control physical assets used across your organization. Vehicles are a major asset category in this module—used across departments, fleets, and projects, and requiring detailed tracking across their entire operational lifespan.

The Vehicle Management system in Fleet Master helps you register, assign, monitor, and eventually decommission vehicle assets, ensuring a clean audit trail and full lifecycle control.

This guide will walk you through how vehicles are added, transitioned between statuses, transferred between companies, maintained, and written off.

What’s Covered in This Section

Each of the following sub-pages explores a critical part of the vehicle lifecycle. You’ll learn how to perform key actions and which roles are involved in each step.

Create Vehicle

Learn how to register new vehicles, assign them a location (warehouse, rack, section), and add key metadata like insurance, chassis number, color, and GPS status. You’ll also upload required documents like the Mulkiya (ownership paper).

Vehicle Record Management

Understand how to search, view, edit, and manage all registered vehicles in the system. You’ll also learn which fields are editable post-creation and how to print asset labels.

Lifecycle Statuses

A deep dive into the statuses each vehicle passes through (e.g., Waiting, Ready to Allocate, Assigned, Executed, etc.) and what each means in terms of operational readiness. Explore how each status change is triggered, which user roles are involved, and what data fields are required (e.g., fleet name, signature, assignment date). This page covers every possible path from creation to write-off.

Company Transfer

Learn how to move a vehicle from one company or branch to another while retaining its lifecycle and usage history. You'll fill in a transfer date and target company name.

Maintenance Logs

Track and record repairs, services, and inspections. These logs help keep your vehicles compliant and performing optimally.

Write-Off Workflow

Retire vehicles that are sold, lost, or damaged beyond use. This process includes an approval step and locks the vehicle once approved.

Key Benefits

  • Full visibility into vehicle status, ownership, and storage
  • Lifecycle-based workflow ensures every action is accountable
  • Rack & GPS mapping enhances asset traceability
  • Approval workflows prevent unauthorized assignments or disposals
  • Write-offs and company transfers are properly documented
