Asset Write-Off Management

The Write-Off Management module handles asset retirement requests across all asset types — Vehicles, SIMs, Uniforms, and Accessories.

This page lists all pending write-off entries for review. Admins or asset managers can choose to Approve or Reject each request.


What Happens When an Asset Is Written Off?

  • Approved assets are retired from inventory.
  • Cannot be reassigned or reused after write-off.
  • The asset’s entire lifecycle history remains intact for auditing and traceability.
  • Written-off entries are removed from available stock pools.

  • Approve: Asset is permanently written off and marked Written-Off.
  • Reject: Write-off is denied and the asset returns to its previous status.

Note:

Once approved, the asset can no longer be assigned, transferred, or edited.

Best Practices

  • Only approve write-offs with proper justification and supporting notes.
  • If damaged or lost, ensure related documents (accident report, police note, etc.) are reviewed.
  • Keep records aligned with compliance/audit requirements.

Example: Write-Off Flow

  1. Fleet reports helmet is damaged.
  2. Warehouse team raises write-off request.
  3. Safety officer reviews and approves.
  4. Asset marked as Written-Off and hidden from allocation pools.
  5. Full lifecycle remains in stock history logs.
